What we collect and why
When you enquire
When you use the quote or website-review form, ring us, or email us, we collect what you give us: your name, phone number, email address, your trade, the service you are interested in, your current website address if you have one, and anything you write in the message box. We also record, silently, the page you sent the form from, the page that referred you to the site, any campaign tags in the address (utm_source and similar), and the first page you landed on in that visit. This tells us which pages and channels produce real enquiries so we can spend our time on the ones that work.
We store the IP address of the device that sent the form as a one-way hash (it cannot be turned back into the address) for a short period, solely to detect automated spam submissions. Submissions that our spam checks reject are stored as records marked spam and are not acted on.
Legal basis: taking steps at your request before entering into a contract (UK GDPR Article 6(1)(b)) and our legitimate interest in responding to enquiries and preventing abuse (Article 6(1)(f)).
When you become a client
If you go ahead with a project we keep the details needed to deliver it and to meet our legal obligations: contact details, project notes, the domain and hosting details we manage on your behalf, and invoicing records. Invoicing records are kept for six years as required by UK tax law.
Analytics — only with your consent
We use Google Analytics 4 to understand which pages are read and which actions (such as tapping the phone number or submitting the form) happen. Analytics is switched off by default. It runs only if you choose "Allow analytics" in the banner, which sets a cookie-free preference in your browser's local storage and enables Google's analytics cookies. You can withdraw consent at any time by clearing your browser's site data for websitesfortradespeople.co.uk, after which analytics stays off unless you opt in again. Google's own policy is at policies.google.com/privacy.
Server and security logs
Our hosting provider records standard request logs (IP address, browser type, page requested, time) for security and error diagnosis. These are kept for a short period by the provider and are not combined with your enquiry.
Where your data is stored and who processes it
We use a small number of suppliers who process data on our instructions:
- Vercel — hosts the website and its form endpoint.
- Neon — the database in which enquiry records are stored.
- Google — email (we receive a notification email for each enquiry) and, only with your consent, Analytics.
- Cloudflare — content delivery and image resizing.
Some of these suppliers may process data outside the UK. Where they do, transfers are covered by the UK International Data Transfer Agreement, the UK Addendum to the EU Standard Contractual Clauses, or an adequacy decision.
We do not sell your details and we do not share them with directories, lead-generation companies or advertisers.
How long we keep it
- Enquiries that do not become a project: up to 24 months from the enquiry, then deleted.
- Records marked as spam: up to 90 days, then deleted.
- Client project records: for the life of the working relationship and up to 6 years afterwards (invoicing records) to meet legal obligations.
- Analytics data: per the retention period set in Google Analytics (14 months).
Your rights
Under UK data protection law you can ask us for a copy of the personal data we hold about you, ask us to correct or delete it, object to or restrict how we use it, and ask for it in a portable format. Email hello@websitesfortradespeople.co.uk and we will respond within one month. If you are unhappy with how we have handled your data you can complain to the Information Commissioner's Office at ico.org.uk.
Cookies and similar technologies
The site sets no cookies until you consent to analytics. Your consent choice and, if you enquire, the page you first landed on are stored in your browser's local storage, which stays on your device and is not sent anywhere until you submit the form. Google Analytics cookies are set only after consent.
